ERP System Setup

Odoo ERP implementation tailored for Saudi SMEs.

Spreadsheets carry most new businesses further than they should. In Saudi Arabia the breaking point usually arrives with ZATCA Phase 2 e-invoicing, bilingual reporting, or the first inventory count that does not reconcile. We implement Odoo ERP localized for the Kingdom — VAT-ready, Arabic–English, and integrated with the FATOORA platform — sized for SMEs rather than enterprise budgets. Our implementers work in both Arabic and English, with your accountant in the room.

What's Included

  • Requirements workshop and module scoping: accounting, invoicing, inventory, sales/CRM, purchasing, and HR as needed
  • Saudi localization: bilingual chart of accounts, 15% VAT configuration, and Arabic invoice layouts
  • ZATCA Phase 2 e-invoicing integration, tested against the sandbox before go-live
  • Data migration: customers, vendors, products, stock counts, and opening balances
  • Role-based access setup and approval workflows
  • User training in English and Arabic, plus written procedures
  • Integrations with banks, e-commerce platforms, and POS systems, scoped in the same workshop
  • Post-go-live hypercare and an optional ongoing support retainer

The Process

  1. Discovery. A workshop maps how you sell, buy, stock, and report today, and which modules you actually need (about 1 week).
  2. Configuration. Modules configured and localized, including e-invoicing setup (typically 2–4 weeks, varies by module count).
  3. Migration and testing. Your data loaded, test transactions run end to end, ZATCA sandbox validation passed (typically 1–2 weeks).
  4. Training. Hands-on sessions per team, with your real data (about 1 week).
  5. Go-live and hypercare. Cut-over on an agreed date, then 30 days of priority support while the team settles in.

Documents You'll Need

  • Exports from your current tools: spreadsheets, QuickBooks, Tally, or similar
  • Your chart of accounts (or we build one), VAT certificate, and CR
  • Product and price lists, current stock counts, and open invoices
  • Your e-invoicing status with ZATCA, so integration is configured for the right phase

Book a free consultation and we will tell you plainly which modules you need now, which can wait, and what a realistic implementation calendar looks like for your team. We implement on Odoo Online, Odoo.sh, or self-hosted infrastructure depending on your data-residency preferences, and every configuration decision is documented — you should never need a consultant to understand your own system. Each phase is priced as a fixed scope you approve before it starts.

Frequently Asked Questions

Why Odoo rather than SAP or Microsoft Dynamics?

For most Saudi SMEs, Odoo hits the balance: modular (you pay for and learn only what you use), solid Arabic support, and mature ZATCA e-invoicing connectors. Enterprise suites make sense at a different scale of budget and internal IT — we will say so honestly if that is your case.

Will the system be compliant with ZATCA Phase 2 e-invoicing?

Yes — we configure the e-invoicing integration (XML formats, QR codes, and the clearance/reporting APIs), validate it against ZATCA's sandbox, and only then connect production. If your integration wave has not been called yet, we set you up Phase 1 compliant and wave-ready.

How long does an implementation take?

A focused accounting-plus-inventory scope typically goes live in 6–12 weeks. The biggest variables are data quality in your current files and how quickly your team can sit for training — both of which we plan around in the discovery week.

Can you migrate our data from Excel, QuickBooks, or Tally?

Yes. Master data — customers, vendors, products, opening balances — migrates cleanly from all three. Full historical transaction detail is optional: many clients bring balances only and keep the old system read-only for reference, which keeps the migration fast and cheap.
